Terms of Service

1. Service Description
DentinFlow ("the Service") is a cloud-based dental practice management platform that provides appointment scheduling, patient communication, AI-powered voice reception, analytics, and related tools for dental practices operating in Canada.
The Service is provided by DentinFlow Inc., a corporation incorporated under the laws of Ontario, Canada. By using the Service, you agree to these Terms of Service.
2. Eligibility
The Service is intended for use by licensed dental practices, dental professionals, and their authorized staff. By registering for DentinFlow, you represent that:
- You are a licensed dental practice or authorized representative thereof
- You have the authority to bind your practice to these terms
- You are at least 18 years of age
- Your use of the Service will comply with all applicable federal, provincial, and local laws
3. Account Terms
You are responsible for maintaining the security of your account credentials. DentinFlow will not be liable for any loss or damage from your failure to maintain account security.
You may invite team members to your practice account. You are responsible for all activity under your account, including activity by team members. Each user must have a unique login — credential sharing is prohibited.
You must provide accurate, current, and complete information during registration and keep your account information up to date.
4. Payment Terms
DentinFlow offers subscription plans billed monthly or annually. Fees are non-refundable except where required by applicable law. All prices are in Canadian dollars (CAD) unless otherwise stated.
Free trials, if offered, automatically convert to a paid subscription at the end of the trial period unless cancelled. We will provide notice before charging your payment method.
We reserve the right to change pricing with 30 days' written notice. Continued use after a price change constitutes acceptance of the new pricing.
5. Data Ownership
Your practice owns its data. All patient records, appointment data, communications, and other practice data entered into DentinFlow remains the exclusive property of your practice.
DentinFlow is granted a limited, non-exclusive license to process your data solely for the purpose of providing the Service. We will not sell, share, or use your data for purposes unrelated to service delivery.
Upon termination, you may request an export of all your data. We will provide data exports in a standard, machine-readable format within 30 days of request.
6. Acceptable Use
You agree not to:
- Use the Service for any unlawful purpose
- Transmit malicious code or attempt to compromise system security
- Interfere with other users' access to the Service
- Reverse-engineer, decompile, or disassemble any part of the Service
- Use the Service to send unsolicited communications in violation of CASL (Canada's Anti-Spam Legislation)
- Store or transmit patient information in violation of PHIPA or PIPEDA
7. Limitation of Liability
To the maximum extent permitted by applicable law, DentinFlow shall not be liable for any indirect, incidental, special, consequential, or punitive damages, including loss of profits, data, or business opportunities.
DentinFlow's total liability for any claim arising from these Terms or the Service shall not exceed the fees paid by you in the twelve (12) months preceding the claim.
The Service is provided "as is" without warranties of any kind, express or implied. We do not warrant uninterrupted or error-free operation.
8. Termination
Either party may terminate this agreement at any time. You may cancel your subscription through your account settings. DentinFlow may suspend or terminate your account for violation of these terms with reasonable notice.
Upon termination, your right to access the Service ceases immediately. We will retain your data for 90 days to allow for export, after which it will be permanently deleted unless legally required to retain it.
9. Governing Law
These Terms shall be governed by and construed in accordance with the laws of the Province of Ontario and the federal laws of Canada applicable therein, without regard to conflict of law principles.
Any disputes arising from these Terms or your use of the Service shall be subject to the exclusive jurisdiction of the courts of Ontario, Canada.
